Record what you owe suppliers with bills, deposits and post-dated cheques on a Payables page, sell unexpired stock first and require expiry dates, let a combo take the same option twice, and pick the variant on a sales order.
This week was about the money you owe and the stock that expires: buying on credit from suppliers, and the expiry tracking a pharmacy or drugstore needs.
Buying on credit
Until now every purchase order was recorded as paid in cash on the day it arrived, so goods bought on terms made your cash look lower than it was and nothing showed who you owed. Buying on credit needs Inventory Pro, and permission to manage purchase orders and see costs.
- Choose when a purchase order is paid: on delivery, on credit (due a set number of days after receiving), or with only some items on credit. A supplier's default credit days fill in on new orders.
- Supplier bills. An order bought on credit opens a bill when it is fully received or closed short. Record each payment as it goes out. Returns and price corrections on that order come off the bill, and you can apply a supplier credit to it. Supplier Bills and Payables
- Deposits. Record money paid ahead on an order. It counts toward the bill, and whatever the order never comes to owe, after a cancellation or a short delivery, becomes a supplier credit.
- Post-dated cheques to suppliers. One cheque can pay several orders from the same supplier. Kassly records the payment on the cheque's date. Void a cheque before its date. If it bounces, mark it returned and the payment is reversed.
- Payables. One page with what you owe in total, how far past due it is, the balance per supplier, the cheques you've issued and every bill. Owners and branch managers get a reminder two days before a cheque's date or a bill's due date, then weekly while a bill is overdue. Supplier Bills and Payables
- Move to Payables. An order recorded as paid on delivery that you didn't actually pay can be turned into a bill.
- Landed costs on credit. A freight or other charge can be put on credit too, and opens a bill instead of being paid.
Ready for pharmacies
- Sales use stock that is still good first. A sale, a transfer or breaking a box now draws from unexpired batches before expired ones, so an expired box on the shelf stays on your expiry list until you write it off. Write-offs, counts and supplier returns still take the expired stock first. Batch & Expiry
- Breaking a box keeps its batch. Loose pieces carry the batch and expiry date of the box they came from, so they stay on the expiry alerts.
- Items that need an expiry date. Switch on Require expiry date on stock-in on a product, and stock-in, bulk stock-in and receiving a purchase order won't post that item without a date. It is on by default for new items in a pharmacy.
- Your own alert window. Expiry alerts in Settings → Inventory Settings says how many days ahead to warn: 30 by default, up to 365. The Expiry Alerts page and the daily expiry notice use it, and the notice also names expired stock still on hand. Inventory Settings
- Pharmacy Details on a pharmacy's products: generic name, strength, dosage form, prescription only (Rx) and FDA registration number. Product search finds the generic name. Rx shows a badge only; Kassly does not record prescriptions. Adding Products
- A warning at the till. The phone and desktop POS ask "Only expired stock left — sell anyway?" before selling from expired stock. It never blocks the sale. Tiles show the generic name, strength and an Rx badge.
Selling
- The same option twice. Switch on Allow the same option twice on a multiple-choice modifier group, for a combo like "any 2 mocktails" where both can be Mango. The POS shows a − / + counter beside each option. Each pick counts toward the group's maximum, adds its own price and takes its own linked stock. Receipts, the kitchen ticket and the kitchen display show it once, as "2× Mango". Older app versions show tick boxes for these groups.
- Pick the variant on a sales order. A product with variants on a sales order now asks which variant, as purchase orders do. The line is priced from that variant, its stock comes off that variant, and the order, its dialogs and stock shortages name it. Sales orders are made on the web. Sales Orders & Invoices
Fixes
- A change to a modifier group now reaches your tills on their next sync, instead of up to 12 hours later.
On phones and desktop
- Kassly 1.32.0 for Android and iOS and Kassly Desktop 1.14.0 bring the repeat counter.
- Kassly Desktop 1.15.0 adds buying on credit: payment terms on purchase orders, deposits, cheques, bills and a Payables screen. Receiving in the phone app works as before.
- Kassly 1.33.0 and Kassly Desktop 1.16.0 bring the expired-stock warning and Rx badges. On the phone, stock-in and receiving take a batch number and expiry date, and accept the month printed on the pack, such as 03/2027. A new Inventory → Expiry screen lists what is expired or expiring at your branch; it needs Inventory Pro and a connection. Kassly Desktop takes a batch number and expiry date when receiving a purchase order.
