Session packs that expire, drops to the safe, and utang with just the cash drawer add-on

Session packs can have a use-by date and be booked from the calendar, cash moved to the safe is no longer an expense, Cash Drawer & Expenses alone can sell on utang, and short films now play in the manual and Help.

Most of this came from gyms, and from filming our own how-to videos, which showed us where the cash drawer needed work.

Memberships and bookings

  • Session packs can expire. A session plan can now have Use within a number of days or months, counted from the day it is bought, and reads as "8 sessions, use within 1 month". After that date the pack expires and any sessions left are forfeited, and the "expiring soon" alert covers these packs too. On renewal, leftover sessions carry over only while the old pack is still valid. Extend can add sessions, days or both; adding days to a pack with no use-by date gives it one, counted from today. Plans without Use within work as before. Memberships
  • Book a session from a membership. A new appointment can be Book for: Membership: pick the customer, then one of their memberships. The booking holds a session, so a pack can't be overbooked. The session is used once, when the customer is marked Arrived, In progress or Completed, and counts as a visit; a QR check-in the same day is linked to it instead of taking a second session. A cancellation or no-show uses nothing. Kassly refuses a booking after the pack's use-by date, on an expired pack, on another customer's membership, or when no session is free. Appointment Calendar
  • An easier booking form. The partner is optional, and the customer box searches your whole list and can add a new customer on the spot.

Bookings from a membership are made on the web for now; the phone and desktop booking forms don't offer them yet.

Cash drawer and utang

  • Drop to safe. The Cash Movement sheet has a third option beside Cash Out and Cash In. A drop takes cash out of the drawer and lowers Expected in Drawer, but it is not an expense, so it books nothing. Before, the only way to move cash to the safe was a Cash Out, which recorded the money as spent. A drop follows the same permission and manager PIN rules as a Cash Out. It has its own Cash Drops line on the End Shift screen and on the X and Z readings, and a Cash Drops column in Reports → Z-Readings. During Your Shift
  • Sell on utang with Cash Drawer & Expenses alone. Attaching a customer to a sale used to need Customer Memory & Promos, so a store with only Cash Drawer & Expenses could never sell on credit. Now the cashier can find a customer, add a new one, and charge the sale to their account. Full customer records (history, loyalty, promos, editing a customer, credit limits) stay with Customer Memory & Promos. Receivables

Drops and credit sales are recorded at the counter. Kassly 1.35.0 for Android and iOS has both. Kassly Desktop 1.17.0 has Drop to safe, and its Cash Drop button on the Shifts screen now opens it instead of a Cash Out. The web shows drops in each shift's Cash Movements and in the readings.

Short films in the manual and Help

  • Watch it done. Many manual pages and Help articles now have a short film of the real screens, which plays from YouTube right on the page. Only its thumbnail loads until you press play. Help articles with a film show ▶ Video and its length, and the PDF of the manual prints a link to each one. User manual
  • What they cover so far: creating your store, getting the app on your counter, your first sale, the POS screen, taking payment, Senior Citizen and PWD discounts, hold and recall, voids and returns, receipts, adding products, sizes and options, barcode labels, stock in and out, stock counts, selling offline, VAT and the dashboard, plus product import, the online store, recipe costing and gym memberships. Films on staff and PINs, shifts, cash out and drops, and utang followed on 22 October.
  • Pages that no longer matched the apps were corrected while filming: the selling, stock, staff, offline, shift, cash and utang pages.

Fixes

  • A membership now stays active for the whole of its last day. Before, it lapsed at midnight at the start of that day.
