New stores skip the BIR questions until they need them, can bring their Loyverse items across or try Kassly with sample items, and anyone can use our free tools, vote on the roadmap and check the status page.

This release makes the first days with Kassly shorter and gives everyone, customer or not, a few more reasons to visit kasslypos.com.

Getting started

  • No BIR questions on day one. The setup wizard no longer asks for a TIN. Every BIR and VAT field (registered name, business style, TIN, permit, tax type, and the MIN and PTU on terminals) now sits behind one I'm registered with the BIR switch in Store Settings. If you already entered any of these, the switch is on for you and nothing changes. Store Profile
  • The dashboard checklist now asks you to add your products (or services) in place of setting up tax and receipts. The Setup Wizard
  • Bring your items from Loyverse. Upload the Loyverse items export as it is. Names, categories, prices, costs, SKUs, barcodes, variants and stock come across. Importing Products
  • Try it with sample items. A new store can load a small sample catalog that fits its type of business, and remove it again with one click. Removing it deletes only the sample items.
  • Free setup help. For your first two weeks, the dashboard offers to import your spreadsheet for you. Send us the file and we'll do the rest.
  • Your registered name and business style now save properly in Store Settings.

  • Free tools, no account needed: inventory, utang and count sheet templates, an SC/PWD and VAT calculator, a recipe cost calculator and a barcode generator.

Scan-first stock counts, purchase order edits, supplier returns and selling to businesses

Count and receive stock by scanning, edit and amend purchase orders, return goods to suppliers, add freight to costs, and sell to other businesses with price lists, quotes, partial deliveries and serial numbers.

Our biggest release so far. It closes most of the gaps between counting stock, buying it and selling it on to other businesses.

Counting and stock

  • Scan to count. Keep scanning with the camera or a handheld scanner, search by name when a label is missing, and keep counting when the internet drops. There is also a count screen on the web. Scans of the same item add up on one line. Stock counts
  • Fixed reasons for adjustments, so every stock removal says why (damaged, expired, spoiled, theft, samples and so on), plus a shrinkage report that shows what went missing and what it cost.
  • Batches are used up soonest-expiring first. Expiry alerts now count only what is left in a batch. Stock with an expiry date but no batch number now raises alerts too. Batch & Expiry
  • Stock value on any past date, with turnover and days of cover, exported to CSV or Excel. Inventory Valuation
  • Reorder levels per branch and warehouse. Set them on the product form, in bulk or by import. New stock rows start with no reorder level instead of a made-up default. Rows you already have are unchanged.
  • Warehouses can now take stock in, run counts, suggest reorders and keep stock per bin. Warehouses
  • Serial and IMEI tracking for phones, appliances and anything else you sell one by one. It covers job-order parts and imports too. Serial Numbers
  • Stock you write off or find in a count now goes to your books, from 29 September onwards. Earlier periods don't change.

Purchasing

  • Edit, delete and amend purchase orders. An amendment after sending goes for approval when it raises the price or the total past your limits. Purchase Orders
  • Send a PO as a PDF, a share link you can revoke later, or by email. Emails now send in the background. There are also PO payment terms and a purchases-by-supplier report.
  • A goods receipt for every delivery, whether it lands at a branch or a warehouse. Receiving Purchase Orders
  • Supplier returns and credits. Send goods back after receiving them, then settle the credit against a later bill or write it off. A write-off over ₱1,000 by anyone but the owner needs approval. Supplier Returns, Supplier Credits
  • Landed cost. Spread freight and other charges over the goods they came with, estimated at ordering and final at receiving. Landed Costs
  • Cost and price history for every product, for businesses with Inventory Pro.
  • Automatic costing from deliveries (moving average) and recipe-based dish costs are both available in Inventory Settings. Both are off until you turn them on, so your costs stay exactly as you typed them.
  • Purchase costs are hidden from staff who aren't allowed to see costs.

Selling to businesses

  • Customer price lists with quantity breaks, also on open tabs. Price Lists
  • Quotes, and sending quotes, orders and invoices by link, PDF or email.
  • Partial deliveries and backorders on sales orders. Voiding a sale made from a sales order puts the quantity back on the order. You can also send monthly statements in one batch. Sales Orders & Invoices

Fixes

  • Paying for a job order no longer takes its parts off stock a second time.
  • On an open tab, a senior citizen or PWD discount is never counted twice across rounds. A customer attached after the first round now gets it too. It can also apply to selected lines only, for a group with one senior.
  • An item removed from an open tab no longer leaves stock, earns commission, or shows on receipts, X/Z readings, the books or reports.
  • Managers limited to certain branches now see only those branches' reorder suggestions and approvals.

On phones and desktop

Scan-first counting and receiving reach the Android, iOS and desktop apps with their next update. Everything else above already works on the web today.

A permission for each action, reorder to purchase order, and barcode labels

Custom roles can grant single actions, reorder suggestions turn into purchase orders, sales can take stock below zero, and every plan can print barcode labels.

New

  • One permission per action. Purchase orders, stock, the catalog, sales and money each have their own permissions, so a custom role can allow exactly what a person needs. A cashier can do a stock-in with a manager's PIN. Custom Roles
  • Reorder suggestions create purchase orders. Products can have a preferred supplier and the supplier's own item code. You can change the suggested quantity before you order.
  • Barcodes and labels on every plan. Kassly makes a barcode for products that don't have one and prints A4 or roll labels. Barcode Labels
  • More free reports. Free plans can open today's reports, and the Inventory Summary is free.

Changed

  • Sales can take stock below zero. A sale is never blocked by a stock count that is out of date. An oversold item raises an alert so you can count it. The "Allow Negative Stock" setting is gone.

Fixes

  • The profit and loss report now counts only the interest of a business-loan repayment as an expense. The principal pays down the loan and was never a cost. It now matches your income statement.
  • Receiving a purchase order is safer. Two people receiving at once can't take in more than was ordered. A line from another order is refused.
  • You can pick a variant when you add a line to a purchase order on the web.
  • Purchase order numbers no longer repeat after an order is deleted.
  • A variant with no cost of its own now uses the main product's cost in sales, reorder suggestions and stock value.

Return single items, and returns net out of your sales

Return part of a sale item by item, see returned sales marked Refunded, get net sales in every report, and record the BIR invoice number on sales invoices.

New

  • Item-level returns. Return some of the items on a sale instead of voiding all of it. Mark each item resellable (it goes back into stock) or damaged (it stays out of stock and is logged at cost). For a credit sale, the refund first cancels what the customer still owes. A cash refund needs an open drawer. A cashier's return goes for approval, just like a void. Returns & Refunds
  • Returns show on the sale. A fully returned sale reads Refunded, and a partly returned one reads Partially returned.
  • Net sales everywhere. The dashboard, sales summary, trends, branch, cashier and product reports and exports now take returns off in the period you processed them. A closed day never changes. The gross figures are still there. Sales Reports
  • BIR invoice number on sales invoices. Record the serial from your pre-printed invoice next to Kassly's own number. It is searchable and prints on the PDF. Sales Orders & Invoices
  • A permission for custom prices on sales orders. Owners and managers have it. Give it to other roles when you want them to change prices on an order.
  • The time clock now shows every punch in the current shift, not just the last one.

Fixes

  • The cashier report PDF now prints the average ticket. It used to show zero.

Sell by weight or length, and split payments on sales orders

Sell in kilos, metres or litres with scale-label barcodes, collect receivables with their own permission, and take more than one payment method on a sales order.

New

  • Sell by measure. Sell in fractions such as 0.75 kg, and scan price-embedded barcodes from a weighing scale. Receipts and reports show the unit, for example "0.75 kg at ₱59.00 / kg". Product Pricing
  • A permission for collecting receivables, with an optional manager PIN. Receivables
  • Split payment on sales orders. Take part cash and part GCash, for example, when you record the sale.
  • Search for a supplier on a new purchase order, instead of scrolling a list.

Fixes

  • Stock adjustments for products sold by weight keep the right unit.
  • A void that an owner approves from another device now gives the cash refund the cashier asked for, from the cashier's own drawer.
