Categories & Organisation
How categories group your products, how they order the selling grid, and how Collections curate a shortlist per branch.

Every sellable product belongs to exactly one category. That is not filing for its own sake — the category is what a cashier taps to find the item, and it decides the colour and the position of the group on the selling grid.
Open Catalog → Categories in the web back office. Owners and Managers can change this list.
Creating a category
Click Add Category and fill in three things.
| Field | Required | What it does |
|---|---|---|
| Name | Yes | Shown on the selling grid and on the product form's Category picker. |
| POS Color | No | The colour the group is drawn in. Defaults to grey. |
| Display Order | No | A number that decides where the group sits. Lower numbers come first. |
That is the whole form. There is no description, no image, and no parent category.
The list itself shows a colour dot, the name, a Products count and the order. The count is every product filed under the category, including inactive ones.
How categories reach the selling grid
When the app pulls your catalog down, Kassly sends the categories sorted by Display Order first, then name, each with its colour. Products reach the grid only if both of these are true:
- the product is Active, and
- Show in POS is ticked.
Anything else stays in the back office. See Adding products for both checkboxes.
Within a category, products are not manually orderable. If you need a specific running order — bestsellers first, say — use a Collection instead.
Getting Display Order right
Leave Display Order blank when you create a category and Kassly gives it the next number after your highest, so new categories land at the end. That is usually what you want.
Clearing the number on an existing category has the opposite effect. A category with no number sorts before every numbered one. If you edit a category and empty the Display Order box, expect it to jump to the front of the grid. Give every category a number and this never bites you.
Numbering in tens — 10, 20, 30 — leaves room to slot a new group in the middle later without renumbering everything.
No sub-categories
The Categories screen is a single flat list. There is no "parent category"
field, so you cannot build Beverages → Hot → Coffee. Name the categories at
the level you actually want to tap: Hot Drinks and Cold Drinks, not
Drinks with children.
Categories and item codes
The category also seeds auto-generated SKUs: the first three letters of the
category name, then a number. Products in Beverages become BEV-0001,
BEV-0002, and so on. Renaming a category later does not renumber SKUs that
already exist.
Categories and kitchen stations
If you run a Kitchen Display System, tickets are routed by category — starters to the cold station, mains to the hot line. You do not set that here. You pick which categories belong to a station from the station itself. See Stations and Kitchen display.
Collections
Collections are a second, looser way to group items, and they are free — no add-on needed. Open Collections in the sidebar, directly under POS.
A collection differs from a category in three important ways:
| Category | Collection | |
|---|---|---|
| How many can an item be in? | Exactly one, and it is required | Any number, or none |
| Scope | Your whole store | One branch |
| Product order | Not adjustable | The order you tick the products |
Use them for a shortlist that does not match your filing: Favourites, Bundles, Merienda, Christmas.
Click New Collection and you get:
| Field | Notes |
|---|---|
| Name | Required. |
| Description | Optional, for your own reference. |
| Color | Pick a swatch or type a hex value. |
| Icon name | Optional, free text — e.g. star, heart, coffee. |
| Active | On by default. An inactive collection is not sent to the app. |
| Products | Search and tick. Ticked items appear as chips above the list. |
The order you tick the products is the order they are stored in, so pick your top seller first. Removing and re-adding an item moves it to the end.
Collections are positioned automatically — a new one goes to the end of that branch's list — and only active collections for the branch the terminal is signed in to are sent to the app.
Copying a collection to another branch
Use the ⋮ menu on a collection and choose Copy to branch. Pick the target branch and Kassly copies the name, description, colour, icon and the full product list with its ordering. The copy is independent from then on — editing one does not change the other.
This option only appears for an Owner, and only when your store has more than one branch.
Deleting a category
Kassly refuses to delete a category while any product is filed under it: "Cannot delete category that has products. Move or delete products first." Reassign those products to another category, then delete.
If you only want the group off the grid for a while, there is no "deactivate category" — deactivate the products in it instead, or move them to a category you keep out of the way with a high Display Order.
