Receipt Settings

Everything that prints on a receipt, where each line comes from, and what you can and cannot change.

A receipt is the only thing most of your customers will ever see from Kassly, and for the BIR it is the document that matters. This page walks the receipt from top to bottom and tells you where each line comes from.

Two screens between them control the whole receipt:

  • Settings → Store Settings — your business identity: name, address, TIN, BIR permit, logo.
  • Settings → Receipt Settings — the free-text header and footer, and a live preview.

The receipt, top to bottom

Store name (large, centred) Your registered business name, or Store Name in Store Settings if no registered name is on file

Everything marked accredited stores only is absent until your store is BIR-accredited. Before that, every receipt is a plain transaction record. See BIR compliance.

Store Settings — your business identity

Settings → Store Settings → Store Information:

The TIN and BIR Permit fields only appear on this screen when they can actually do something: TIN once your tax type is VAT-Registered, BIR Permit once your store is BIR-accredited.

Your logo does not print on a thermal receipt by default. Uploading a logo sets it for the back office and your online store. Sending it to a receipt printer is controlled by a separate switch that the web back office does not currently expose, so it stays off. If you need your logo on printed receipts, ask support.

Receipt Settings — the text you control

Settings → Receipt Settings has three controls and a preview.

Control What it does
Header Text Free text shown below the store name. Up to 2,000 characters; about three lines is all that fits legibly.
Footer Text Free text at the bottom. Up to 2,000 characters.
Show TIN Appears only for BIR-accredited stores

The Receipt Preview on the right redraws as you type, using your real store name, address and TIN. Use it — it is much faster than printing.

Show TIN does not remove your TIN from a printed receipt. Once your store is BIR-accredited, the TIN prints on every receipt because the BIR requires it. The toggle does not override that.

Header and Footer text do not appear on the PDF receipt. The PDF you download or email from the back office prints a fixed Thank you for your purchase! line instead. Your header and footer text is sent to the app that does the selling, which is what drives your counter printer. Print one test receipt from the app after changing them and confirm you see your text.

Per-branch and per-terminal details

Some of what prints is not store-wide.

Per branch — a branch can carry its own TIN, BIR permit, BIR-registered (Form 2303) address and 5-digit BIR branch code. When set, they override the store's values on receipts issued from that branch. This matters for separately registered branches. These fields are not editable from the web back office today — ask support to set them.

Per terminal — each terminal can carry:

Paper width

Kassly renders receipts for two thermal paper widths:

The app that prints picks the width to match the printer you paired. 80mm is the usual choice for a counter and is easier for a customer to read; 58mm suits a handheld. If your receipts come out with wrapped or truncated lines, the width is set wrong for the printer — check the printer setup in the app, not these settings. See Supported hardware.

Reprints

Reprinting is deliberately visible. When a receipt is reprinted, Kassly:

  1. Stamps REPRINT (printed date and time**)** on the face of the copy, in a box, directly under the document label.
  2. Increases that receipt's reprint counter.
  3. Writes an entry to your audit log.

This is a BIR requirement, not a Kassly preference. You cannot print a clean second original.

A receipt you should print today

Ring up one small sale, print it, and read every line against the tables above. The mistakes this catches — a misspelled business name, a missing TIN, the wrong address on a second branch — are trivial to fix now and expensive to fix after a month of trading.
