Running Multiple Businesses

Owning more than one store on one login, switching between them, and exactly what is and is not shared.

One login can own several completely separate businesses. A carinderia and a hardware store. A salon and the gym next door. Each is its own store in Kassly, with its own products, staff, stock, reports and bill — and you move between them without logging out.

This is not how you add a second location. Two branches of one business should be two branches, sharing products and customers and reporting together. Separate businesses share nothing. If you are unsure, you almost certainly want Branch management instead.

There is no charge for this. Every business you create starts on the Free plan.

Switching between businesses

The business switcher sits at the top of the sidebar, showing the business you are currently in. Open it and you get:

  • Create a new business
  • the list of businesses you belong to, with the one you are in marked
  • Business Hub, once you own two or more

Pick a business and Kassly reloads into it. No password, no second login — you carry one account across all of them.

Right after signing in, the switcher can look empty. It fills in once the page has fully loaded your account. If the list is blank or the Business Hub entry is missing straight after login, reload the page.

Creating a second business

From the switcher, choose Create a new business. You are asked for:

Kassly then provisions a complete store — on the Free plan, with one branch, and you as its Owner — and drops you straight into it.

A TIN can only be used by one active business in Kassly. If you enter one already registered to an active store, you'll be told. This is a guard against accidentally registering the same business twice, and it compares digits only, so 123-456-789-000 and 123456789000 count as the same TIN.

The Business Hub

Once you own two or more businesses, Business Hub appears in the switcher and gives you one screen across all of them.

Pick a window — Today, This Week or This Month — and you get totals across every business you own:

Below the totals, one card per business, sorted by sales with the best performer marked. Clicking a card switches you into that business.

The Add-on coverage grid shows which add-ons each business has, side by side. It is the fastest way to spot that you're paying for Payroll at one store and not the other — or paying for it twice when you only needed it once.

Three things to know:

  • The hub needs two businesses you own. With one, the link does not appear and the page is not reachable.
  • The figures are cached for a minute. A sale you just rang up may take up to a minute to appear in the hub. A business's own dashboard is live.
  • The hub covers up to 20 businesses. Beyond that it stops adding them in.

Per-business sales trend lines need that business's own reporting add-on — a business on the Free plan shows its totals but no trend line.

What is shared, and what is not

This is the part worth reading twice.

The short version: the only thing shared is you.

The practical consequences:

  • You pay per business. An add-on bought for one business does nothing for another. The Everything Bundle at one store does not cover the store next door.
  • Free-plan limits apply per business. Fifty products each, not fifty shared.
  • Staff do not carry across, and cannot be. Email addresses are unique across the whole of Kassly, and adding a staff member always creates a new account. Someone who works at two of your businesses needs a separate email address and a separate account at each. There is no way to give one staff account access to two businesses.
  • A product you sell at both needs adding twice. There is no way to copy a catalogue between businesses.
  • Reporting is per business. The Business Hub is the only place you see them added together, and it shows five figures, not a full report. There is no consolidated profit and loss.

Your role, and who else can get in

You are the Owner of every business you create from the switcher.

Two rules follow from that, and they surprise people:

  • Your role belongs to your account, not to each business. Kassly cannot make you an Owner at one of your businesses and a cashier at another on the same login. Whatever your account's role is, it is your role everywhere you belong.
  • You can only reach businesses you belong to. Kassly checks membership on every single request, so another owner's store is not merely hidden from your switcher — its address will not open for you at all.

Limits worth knowing before you commit

Be aware of these; they are the things people ask for and Kassly does not do yet.

  • You cannot choose which business you land in at login. Kassly opens your default business, and there is no way to change which one that is from the interface. Ask support.
  • You cannot leave a business, or delete one, yourself. Renaming or closing a business is a support request.
  • You cannot invite a co-owner to a second business the way you invite staff.
  • The switcher described here is in the web back office. If the app you sell on does not offer one, moving between businesses there means signing out and back in.
  • There are no consolidated reports. No combined P&L, no combined VAT return, no group inventory. Each business files its own.

If you have signed up twice already

Signing up twice with two different email addresses gives you two accounts, not one account with two businesses — and there is no way to merge them yourself.

Contact support with both email addresses and say which one you want to keep. Nothing is lost in the meantime; both stores keep working.
